St. John Fisher University is consolidating student email accounts from the Gmail environment to Microsoft Outlook. By moving student email to the same platform used by faculty and staff, we’re making it easier than ever for you to stay connected, schedule meetings with professors, and keep your account secure.
Will my email address or password change?
Your email address (ending in @sjfc.edu) and account credentials will remain the same after migration.
How do I access my new email account?
You can access your new Microsoft Outlook inbox through the Outlook link in Launchpad. OIT recommends using the Outlook app on mobile devices (available from Apple App Store and Google Play Store). You can set it up on your mobile devices and personal computers by following the Mobile Devices and Desktop Applications instructions.
Where will my new incoming mail be delivered?
Once the transition is complete, all new incoming messages will be delivered to your Microsoft Outlook mailbox. To make sure your emails are sent from the correct system, you should also use Outlook for all outgoing messages.
What happens to the emails currently in my Gmail inbox?
Your existing Gmail account will remain active and accessible in a "read-only" state as long as your Fisher network account is active (through the end of the next academic year after your graduation). You will be able to log in to view and refer to old messages received before the transition date, but you will no longer receive new mail there.
Will the email in Gmail move to my new Outlook inbox?
Your old emails will stay in Gmail for reference, but you have the option to manually move them into your new account using an email app on your computer. Directions for this process are available in the OIT Knowledge Base Move email from Gmail.
If I don't want to move my email to Outlook, can I keep accessing Gmail the old way?
Yes! Your existing Gmail mailbox will remain active and accessible via Launchpad or Gmail apps on your personal devices so you can refer to messages received prior to the migration date.
What happens to my Google Drive and Google Docs?
There is no impact on other Google services. Your Google Docs and Drive will remain available and unchanged. Your Google account will remain active for as long as your network account is active (currently through the end of the next academic year after your graduation).
Can I continue using my Fisher credentials to log in into services and applications if prompted to Sign-in with Google?
Yes. Your Google account remains active, so you can keep using "Sign-in with Google" option to log in using your Fisher credentials.
Where do I learn the basics of Outlook (send mail, contacts, calendar, meetings, searching)?
The Getting Started document has quick links for the most common tasks students ask about, including:
- Getting started
- Sending/receiving email
- Address book/contacts
- Scheduling meetings/events
- Organizing inbox
- Searching
- Automatic replies
How do attachments work if my files are in Google Drive?
Attaching files from Google Drive in Outlook takes a few extra steps compared to Gmail. To keep things simple, it’s best to share a link to your Google Drive file instead of attaching the file directly. For the easiest experience with Outlook, we recommend using OneDrive for sharing files and attachments. All students have access to Fisher‑provided OneDrive through Launchpad or the OneDrive apps on their devices.
How do I find email addresses for faculty and staff?
This transition makes it easier to find campus contacts. When you start typing a name in the "To" field of a new message in Outlook, the system will automatically search the University’s Global Address Book to suggest the correct contact.
How does the new calendar system work?
Since students and faculty will now be on the same system, you can view faculty and advisors availability and schedule meetings more easily. This also enables the use of tools like Microsoft Bookings for reserving time with professors or campus offices.
How do I organize messages if I’m used to Gmail labels?
Outlook is more folder-based than label-based, so labels usually turn into folders and subfolders. The Getting Started article includes instructions for creating folders and subfolders to organize your inbox.
